Acceptable Use Policy

OutreachPro sends mail from mailboxes our customers own, using their own domain reputation. That only works if the mail is wanted. This policy sets out what may be sent through the platform, and it is enforced in the product, not only on this page.

1. Consent is required

You may only send to a person who has agreed to receive email from you. In practice that means one of the following, and these are the only options the product offers when you import a list:

  • They entered their address into a form you control.
  • They did that and then confirmed it by clicking a link you emailed them.
  • They are a customer, or hold a current account with you.
  • They agreed in a signed contract or order form.
  • They registered for an event, webinar, demo or download of yours.
  • They asked a mutual contact to introduce them to you.

When you import addresses you record which of these applies, describe the opt-in in your own words, and may link to the form or notice the person saw. That record is stored against every address and is exportable at any time.

2. What you may not send

  • Mail to purchased, rented, swapped or scraped lists, or to addresses collected by any means other than those in section 1.
  • Mail to addresses guessed or generated from a pattern, such as a company domain.
  • Mail to anyone who has unsubscribed, complained, or asked you to stop, from you or from anyone else using your account.
  • Mail with a false or disguised sender, subject line or reply-to address, or that hides who is sending it.
  • Anything unlawful, deceptive, or designed to obtain credentials or payment.

3. How this is enforced in the product

  • An address with no consent record cannot be queued for sending. The check is in the database function that creates sends, so no part of the application can skip it.
  • Every message carries a visible unsubscribe link and the List-Unsubscribe and List-Unsubscribe-Post headers, so Gmail and Yahoo can offer one-click unsubscribe.
  • Unsubscribing suppresses the address across your entire account immediately. A later import cannot re-add a suppressed address.
  • Hard bounces and spam complaints suppress the address automatically and are counted against the sending mailbox.
  • Per-mailbox hourly and daily limits, and a randomised gap between sends, cap the volume any one mailbox can produce.

4. Sender requirements

You are responsible for authenticating your sending domain with SPF, DKIM and DMARC, and for keeping your spam complaint rate below 0.3% as required by Google's and Yahoo's sender guidelines. The platform checks your DNS records for you and warns you when they are missing or wrong, and shows your bounce and complaint rate per mailbox.

5. Reporting and enforcement

If you believe mail sent through OutreachPro breaches this policy, write to outreach@danixsoft.com. We investigate every report. We may suspend sending on an account while we do, and we terminate accounts that send to lists they have no consent for.
